Position            : Documentation Executive (M/F -6 Post)

 

Are you a motivated and customer-focused professional with strong knowledge of shipping and logistics? We are currently seeking a Documentation Executive to join our team. As a Documentation Executive, you will be responsible for handling both Freehand and Nomination shipments, communicating with carriers, coordinating bookings, and ensuring smooth and efficient operations.

Job Responsibilities:

v  Handle both Freehand and Nomination shipments.

v  Communicate with carriers and file rates for Freehand shipments.

v  Check contract validity for Nomination shipments.

v  Perform booking reservations and negotiate space between customers and carriers.

v  Communicate with customers for booking arrangements, from booking receipt to loading, B/L issuing, invoicing, and payment collection.

v  Issue invoices and manage payment transfers between customers, carriers, and the finance department.

v  Track carriers for connecting vessels and provide updates to customers.

v  Maintain regular contact with customers, carriers, and operations for any updates or changes.

v  Manage payment receivables and payables.

v  Handle and resolve customer and POD agent issues.

v  Follow up on the payment process from customers and coordinate with the finance team.

v  Input data into Sys freight for invoicing and maintain Job P&L sheet.

v  Prepare weekly and monthly job reports and report to the manager.

Job Requirements:

v  Bachelor's degree in business administration, logistics, or a related field.

v  Proven experience in customer service, preferably in the shipping or logistics industry.

v  Strong knowledge of Freehand and Nomination shipments.

v  Excellent communication and negotiation skills.

v  Ability to handle multiple tasks simultaneously and work under pressure.

v  Detail-oriented and strong organizational skills, proficient in using relevant software and systems.

v  Problem-solving skills and ability to think critically.

v  Ability to build and maintain strong relationships with customers and carriers.

v  Knowledge of finance and invoicing processes.

v  Strong analytical and reporting skills.
